Cancellation and Refund Policy

1. Service Cancellation

You may cancel your service with SchoolCRM at any time by providing written notice. Cancellation requests must be submitted through one of the following methods:

Cancellation will be effective at the end of your current billing cycle, unless you specify an earlier date.

2. Cancellation Timeline

Important: All cancellations require a 30-day notice period.

  • Services will continue until the end of the notice period
  • You remain responsible for all charges during this period
  • We will assist with data migration if requested
  • Access to our systems will be revoked upon cancellation

3. Refund Policy

Our refund policy varies by service type:

Consulting Services

  • No refunds for completed consulting sessions
  • Partial refunds may be available for cancelled sessions with 24+ hours notice
  • Project-based work is non-refundable once started

Managed Services

  • Pro-rated refunds for unused portions of monthly/annual plans
  • No refunds for partial months of service
  • Setup fees are non-refundable

Support Plans

  • No refunds for used support hours
  • Unused support hours may be refunded at our discretion
  • Emergency support charges are non-refundable

4. Refund Processing

When a refund is approved:

  • Refunds will be processed within 5-10 business days
  • Refunds will be issued to the original payment method
  • You will receive an email confirmation when the refund is processed
  • Bank processing times may vary (3-5 additional business days)

5. Non-Refundable Items

The following items are non-refundable:

  • Setup and onboarding fees
  • Custom development work
  • Third-party software licenses
  • Emergency support charges
  • Training sessions and workshops
  • Any services that have been fully utilized

6. Data Retention After Cancellation

Upon cancellation of your service:

  • Your data will be retained for 30 days after cancellation
  • You may request a data export during this period
  • After 30 days, data will be permanently deleted
  • Backup copies may be retained for legal compliance

7. Reinstatement

If you wish to reactivate your service after cancellation:

  • You may be subject to new setup fees
  • Current pricing will apply
  • Data recovery may incur additional charges
  • Service availability is not guaranteed

8. Dispute Resolution

If you disagree with a refund decision:

  • Contact our billing department within 30 days
  • Provide detailed documentation of your claim
  • We will review and respond within 5 business days
  • If unresolved, you may escalate to management
